MerchFox is a print-on-demand fulfillment platform: when your customer places an order, we print and ship it for you. Etsy welcomes print-on-demand businesses — but it has specific rules that every seller working with a fulfillment partner must follow. This guide walks you through everything you need to stay compliant and sell with confidence.

1. Declare MerchFox as your Production Partner
Etsy allows sellers to work with outside production partners — but only if you disclose them. If MerchFox prints your products, you must add us as a Production Partner in your Etsy Shop Manager and link us to the relevant listings. Failing to disclose a production partner is one of the most common reasons Etsy shops get flagged or suspended.
How to add MerchFox as a Production Partner:
On Etsy.com, go to Shop Manager.
Select Settings, then Production partners.
Click Add a new production partner.
Fill in the details:
Production partner name: MerchFox
Location: the production facility region closest to your customers (MerchFox prints from regional partners in the US, EU, and Asia — if you're unsure which facility handles your products, contact [email protected])
About production partner: e.g. "Print-on-demand fulfillment service that prints and ships my designs."
Why are you working with this partner / What's your role: choose the options that reflect your process — typically that you design the items yourself and your partner handles production because you don't own the equipment to produce them.
Save the partner profile.
Open each listing that MerchFox fulfills, and in the listing editor under About this listing → Production partner, select MerchFox.
Tip: The partner name and description you enter are visible to buyers on your listings. Keeping it honest and simple builds trust and keeps you compliant.
2. Follow Etsy's Creativity Standards
Etsy is a marketplace for items made or designed by the seller. Print-on-demand is fully allowed under Etsy's Creativity Standards — as long as you are the creative force behind the product. In practice, this means:
You must:
Sell only designs that you created or own the rights to. Your original artwork, typography, patterns, or designs you commissioned with full commercial rights all qualify.
Be able to show your design process if Etsy asks (source files, drafts, design editor history). Keep your original artwork files.
Disclose MerchFox as your production partner (see section 1).
You must not:
Upload designs copied from other sellers, social media, or "trending design" packs you don't have rights to.
Sell designs containing trademarked or copyrighted content you don't have a license for — this includes sports team logos, cartoon characters, band names, movie quotes, and celebrity images. "Everyone else sells it" is not a defense; these listings are removed and repeat violations end in permanent suspension.
List blank, unmodified products (e.g., a plain t-shirt with no design) — reselling unaltered items is not allowed.
Use MerchFox's catalog mockups as proof of "your" design if the design itself isn't yours.
Why we care: MerchFox does not accept orders that infringe intellectual property rights (see our Terms of Service). Designs that violate IP rights can be refused at production, and repeated violations may lead to account termination on both platforms.
3. Avoid prohibited items
In addition to the Creativity Standards, Etsy maintains a Prohibited Items Policy. Most MerchFox products (apparel, drinkware, wall art, accessories) are safe categories, but your designs can still make an item prohibited. Do not list designs that contain:
Hate speech or content that promotes, supports, or glorifies hatred or violence toward people or groups
Content that sexualizes minors in any way
Instructions or promotion of illegal activity, or glorification of illegal drug use
Content that harasses a specific person or violates someone's privacy
Misleading health claims (e.g., printing unproven medical claims on products)

4. How order fulfillment and tracking work
Once your Etsy shop is connected to MerchFox:
Order sync. When a buyer places a paid order in your Etsy shop, it flows automatically into your MerchFox dashboard — no manual entry.
Production. We print, quality-check, and pack the item at the print facility nearest your customer.
Shipping & tracking. As soon as the order ships, the tracking number appears in your MerchFox dashboard and is synced to Etsy automatically. Etsy then marks the order as shipped and notifies your buyer through Etsy's own notification system.
Important: For Etsy orders, all buyer notifications are sent by Etsy, not by MerchFox. We never contact your Etsy buyers directly — buyer information is used solely to print and ship the specific order, in line with our Privacy Policy and Etsy's API Terms of Use.
This flow also protects your seller metrics: tracking is uploaded to Etsy promptly, which supports your on-time shipping stats and Star Seller eligibility.
5. Connect your Etsy shop to MerchFox

When the integration launches, connecting will work roughly like this:
In your MerchFox seller dashboard, go to Integrations → Etsy and click Connect.
You'll be redirected to Etsy.com, where Etsy asks you to sign in and approve the permissions MerchFox needs (reading your orders, publishing listings you create, and updating shipment tracking).
Approve the request, and you'll be returned to MerchFox with your shop connected.
You stay in control at all times: you can disconnect MerchFox from your shop whenever you like, either from your MerchFox dashboard or directly on Etsy under Shop Manager → Apps → Connected apps → Disconnect.
6. FAQ
Do I need to add MerchFox as a Production Partner even before the integration launches? Yes — if MerchFox already fulfills your Etsy orders in any way (including manual order placement), Etsy requires the disclosure regardless of how orders reach us.
Will buyers see that I use a production partner? Etsy shows the production partner name and description on your listing. Most buyers see this as a normal part of how modern handmade/POD shops operate.
Does using MerchFox affect my Star Seller status? Fulfillment speed and tracking accuracy are part of Star Seller criteria. Our automatic tracking sync is designed to keep your shipping metrics healthy, but final metrics depend on your shop settings (processing times, shipping profiles).
Can MerchFox help me check if my design is safe to sell? We can't provide legal advice, but if you're unsure whether a design may infringe IP rights, contact [email protected] before listing and we'll flag obvious risks.
